Whitin Mills - Administrative Assistant

The Whitin Mill serves as one of the multiple Open Sky headquarter and houses Open Sky programs, a technically advanced theater, art gallery, public plaza, and artisan spaces. The space also houses the Community Membership team who works to provide opportunities for people served to establish a variety of valued roles within their communities. Opportunities are created through strong community partnership development as well as unique programs designed to facilitate relationships and membership within the community. Whether an art exhibition, concert, play or historic tour, events that bring people together and inspire new connections are always taking place. The Administrative Assistant will serve as the Whitin Mills ambassador who greets staff, individuals served, vendors, and community members upon arrival. They will also perform general administrative tasks, coordinate communication, and provide office support to the programs within the building, including the Community Engagement.

Other Key Responsibilities:

• Sort and distribute daily incoming mail and packages. Ensure accurate and timely communication of pertinent information. 
• Track stock of office supplies, order when needed, and ensure spending is within budgetary guidelines. Submit facility maintenance requests through online ticketing system.
• Provide oversight to the room reservation process, in collaboration with ValleyCAST, and assist with problem solving in the event of booking conflicts.

• High School Diploma, GED or equivalent, required.
• Valid Drivers License and acceptable driving record, required. 
• Previous experience with administrative/clerical procedures, and experience with Microsoft Office Suite, required.
• Excellent verbal and written communication and organizational skills, required.
